This Privacy Policy outlines our responsibilities under <em>The Local Authority Freedom of Information and Protection of Privacy Act (LAFOIP)<\/em> and informs employees, property owners, and third parties of our obligations and practices.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>\ud83d\udcd8 Personal Information Protection Principles<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u2705 Accountability<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The RM is responsible for safeguarding all personal information in its possession or control, including data shared with third parties for legal, regulatory, or processing purposes. We require all third-party partners to uphold the same level of protection.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udce5 Collection of Personal Information<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We collect and retain personal information for the following purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>To process service requests or inquiries<\/li>\n\n\n\n<li>To communicate regarding requested services<\/li>\n\n\n\n<li>To identify individuals in relation to service concerns<\/li>\n\n\n\n<li>To meet legal and regulatory obligations<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udeab Limiting Use &amp; Disclosure<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Personal information is not used or retained for secondary purposes without prior notification and consent. We do not sell, rent, or share personal information outside the RM unless:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>It is required for contracted service processing<\/li>\n\n\n\n<li>It is requested for law enforcement purposes<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83e\uddfe Accuracy<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We strive to ensure all personal information is accurate, complete, and up to date.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udd12 Safeguards<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We employ physical, organizational, and technological safeguards to protect personal information from loss, theft, unauthorized access, or misuse. These include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Locked filing systems<\/li>\n\n\n\n<li>Restricted office access<\/li>\n\n\n\n<li>Security clearances<\/li>\n\n\n\n<li>Password protection and encryption<br>All staff and third-party partners are informed of these procedures to ensure compliance.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>\ud83d\udce4 Release of Information<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The RM Administration Office may receive requests for property-related information from Realtors, Lawyers, Appraisers, Property Owners, Accountants, and other parties. All requests are handled in accordance with FOIP regulations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udccb Release Procedures<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Property Owners<\/strong>: May request tax information or copies of tax statements for a fee set by Council resolution.<\/li>\n\n\n\n<li><strong>Third Parties<\/strong>: Realtors, lawyers, appraisers, and accountants may request property tax information within FOIP parameters, subject to applicable fees.<\/li>\n\n\n\n<li><strong>Authorization Required<\/strong>: Copies of tax statements will not be released to third parties without written authorization from the property owner.<\/li>\n\n\n\n<li><strong>Telephone Requests<\/strong>: Information may be released by phone only when required to complete a property sale. In all other cases, the original tax notice must be presented or a copy requested in person (fees apply).<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>\ud83d\udd0d Access to Personal Information<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Individuals whose personal information is held by the RM have the right to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Apply for access to their records<\/li>\n\n\n\n<li>Provide proof of identity to confirm access<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The RM may refuse access to evaluative or opinion-based material compiled in confidence for employment, contracts, or benefits.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If granted access, individuals may:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Request corrections to inaccurate or incomplete information<\/li>\n\n\n\n<li>Require a notation if a correction request is denied<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The RM will respond in writing within 30 days of receiving a correction request.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>\ud83d\udcde Challenging Compliance<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Anyone may contact the RM of The Gap No. 39 to challenge our compliance with this Privacy Policy.
